Seller Documentation Policy

To ensure compliance with legal standards and to create a secure selling environment, GAINT IT SOLUTIONS PRIVATE LIMITED requires all sellers to submit specific documentation during registration and verification.
This policy outlines the list of documents required to onboard and continue selling on our platform.
1. Purpose of Documentation
Seller documents are collected to:
- Verify the identity and legitimacy of the seller
- Comply with legal, tax, and regulatory obligations (such as GST)
- Enable smooth payment processing and settlement
- Prevent fraudulent activities
2. Mandatory Documents for Individual Sellers
If you are registering as an individual or sole proprietor, you must provide the following:
- PAN Card (Personal PAN)
- Aadhaar Card or other government-issued identity proof
- Cancelled Cheque or Bank Statement (for verifying bank details)
- GST Certificate (mandatory if you intend to sell taxable goods)
- Signature Specimen (scan of signed document)
3. Mandatory Documents for Business Entities
If you are registering as a partnership firm, LLP, or company:
- Company PAN Card
- Certificate of Incorporation or Partnership Deed
- GST Registration Certificate
- Bank Account Proof (in the name of the entity)
- Authorized Signatory ID Proof (Aadhaar/PAN of signatory)
- Board Resolution or Authorization Letter (if applicable)
4. Document Submission Process
- Upload all required documents during the seller registration process on our website.
- Alternatively, you may email the documents to gaintsolutions1@gmailcom | info@xoomshop.in for manual verification.
- Verification typically takes 1–3 business days.
Sellers will receive an approval notification or request for resubmission if any document is missing or incorrect.
5. Document Review and Confidentiality
All submitted documents will be reviewed by our internal compliance team.
We ensure:
- Strict confidentiality of seller information
- No sharing of documents with third parties unless legally required
- Secure data storage and access control mechanisms
6. Periodic Reverification
To maintain up-to-date records, sellers may be asked to resubmit updated documents (e.g., renewed GST certificates or bank detail changes) periodically or upon request.
Failure to provide updated documentation within the requested timeline may lead to account suspension.
